Caribbean Family History Group (CFHG) 2026-revised version

This years Annual General Meeting

As you are aware, every year we, CFHG, hold a general meeting at which current members with portfolios stand down from their respective posts. We then receive nominations for the posts, which are then seconded. The nominees will then decide whether to accept the nomination for the respective posts, undertaking the duties and responsibilities for the coming year.

Core Committee Roles and Responsibilities:

RoleTemplate description of responsibilities
ChairThe lead representative/key public face/voice for the core group/group as a whole. However, it is the Core Group as a quorate collective that decides what the group does. Represents the group to the world Contributes to writing minutes at meetings Help plan meetings and agendas Chair meetings Ensure the agenda is covered at the meeting Allow all/as many members to have a say Ensure the meeting timetable is kept to Ensure all actions are carried out
SecretaryTake turns to take minutes at meetings
Responsibilities of an individual doing the role: (to follow)
Acting Secretary/Communications OfficerAnswers group emails, contacts speakers, and communicates with members Responsible for the group’s communication – eg emails Keep information on all literature
TreasurerControls membership fees, maintains accounts books Approve all budget expenditure Pay bills as necessary Collect dues Keep UpToDate with finance records Periodical finance reports
Senior Researcher Other ResearchersAnswers research queries for Jamaica and other research queries that fall within their expertise. As above for Jamaica and other islands, to the degree they are able.
Military Research ExpertAnswers any military queries
Membership SecretaryHold membership application forms Involved in all membership queries except finances
Website AdministratorAll website work, arranges content, updates website, adds watermark/resizes photographs
Events Co-ordinatorContributes to writing minutes at meetings Set up all meetings and events Plan and organise social, educational and training events Ensure members are kept informed
Newsletter co-ordinatorCollect articles for newsletter Use of appropriate software Provide a quarterly newsletter of group activities
Members without portfolioContribute to the work of the Core as a whole. Assist other Core Committee members when able.
